It's always exciting when a new person joins the team. The very first thing we do is send them a variation on this email to welcome them and let them know about a few of the tools they'll be added to. We hope it also gives them an impression of who we are and what are our priorities.
Please personalise and tailor the email to suit the person you're writing to. Try to list only the tools that are relative to their first few weeks. e.g. maybe don't include Basecamp if they won't be added to any projects in the foreseeable future.
This is an example. Cut it up however you see fit.
Hi,
Welcome aboard! We're excited to have you join the team.
As mentioned on the phone the other day, we use a few tools here at Picket that we've found make communication and collaboration a little easier between each other and our clients. I've added you to some of them, including:
GSuite
Email and calendar. You should have received an invitation to setup a new gmail account - {your_name}@picketstudio.com
.
Harvest
Time tracking. We track all our time with . The extension will add a "Track Time" button to any GitHub Issue and PR. Please use this button when commencing any work.
By clicking the "Track Time" button you're essentially creating a commit message for our accounts team so they know what we're all working on at any moment in time. Which makes their lives MUCH easier.
Slack
Communication. I've sent an invite to your @picketstudio.com
address.
GitHub
Basecamp
Client hub. Where we discuss work with the client. Everything that can't be expressed in code is kept here. This is where Dave lives.
Everything else
How we run the business
How we run a project
How we setup a new codebase
What we expect from the client and each other
Have a read through it when you get a chance. It's in the very early stages so currently there are lots of pages missing and half-finished but it's still worth checking out.
Lucky for you, this is probably the first and last email you'll ever get from me since we all live in Slack so please feel free to Slack me if I've missed anything.
Code. You should have been invited to the relevant repositories by now. We're fans of for running projects. If you've used something like Trello or Jira's Kanban boards then it'll feel similar. They're a bit more light-weight but with better integration with the code.
